How to export your wedding guest list from Zola, The Knot, Joy or Minted to Excel or Google Sheets
By Blink Brief · Updated · How pages are made
Each wedding site has a download button for the guest list, in a different place. In Zola, open your Guest List on a computer and click the three dots in the top right corner. In The Knot, click Download List. In Joy, click Export All Guests. In Minted, tick Name on your wedding website's Guests tab and choose Bulk Actions › Download Guests. Each gives a file that opens in Excel or Google Sheets; Minted's Address Book is the one list that won't export.
Short answer
- Zola (computer only): Guest List › three dots › the full list, the addresses, or the RSVPs. Or Track RSVPs › Export RSVPs for a .csv or Excel file with meal choices.
- The Knot: Download List › the full list, address labels, or RSVP responses. You get a .csv file.
- Joy: Export All Guests, or tick guests and Export Selection. You get a CSV.
- Minted: oursite.minted.com › your website › Guests › tick Name › Bulk Actions › Download Guests. You get a CSV with the RSVP answers. The Address Book prints or saves as a PDF only.
Zola: export the guest list or the RSVPs (computer only)
Zola's help page says of the export: "Right now this option isn't available from the app." Sign in at zola.com on a computer.
The guest list or the addresses
- Go to your Guest List.
- Click the three dots in the top right corner.
- Choose what you want: in Zola's words, "the full list, just the addresses for your invitations, or RSVPs (with meal choices for your caterer)."
The RSVPs
- Open the Track RSVPs page.
- Click Export RSVPs in the upper right corner. Zola downloads "a .csv or Excel file of all of your guests' RSVP entries."
For a seating chart, the RSVP export is the one to start from: it tells you who said yes. If you get an Excel (.xlsx) file, save it as CSV before you load it into a CSV tool, or copy the columns you need.
The Knot: Download List (full list, labels or RSVPs)
- Open your guest list on The Knot.
- Click the Download List button on the top right of the list.
- Pick one of the 3 options. The Knot describes them as your "entire list as a table," "address labels," or "a table of guests' RSVP responses so you can get an accurate final headcount."
The Knot's guide calls the download a .csv file and says to print it from there if you want a paper copy. Its guest list groups people into parties: a guest's entry has "Add a Guest to this Party" for the people who come with them, and the list sorts by "Party Size".
Joy: Export All Guests or Export Selection
- Open the Guest List on your Joy event dashboard.
- For everyone, click Export All Guests in the toolbar.
- For some guests only, tick the box next to each one and click Export Selection.
Joy says "The file will download as a CSV to your device." Joy groups guests into parties: its import template has a Party column, and guests with the same value become one party. Its help page doesn't say whether the export carries the party, so check the file's columns with the checker below.
Minted: the website guest list exports, the address book doesn't
Guests on your Minted wedding website
- Go to your Minted Websites Dashboard at oursite.minted.com and choose your wedding website.
- Select the Guests tab in the top menu bar.
- Select All Events Summary, or the name of one event.
- Select the checkbox next to Name to select all guests.
- Click the Bulk Actions drop-down and select Download Guests.
Minted downloads the list as a .csv file, "including their RSVP responses and answers to any RSVP questions."
The Address Book
Minted's Address Book is where you keep addresses for printed envelopes, and it doesn't export: "we do not support exporting your Address Book into a spreadsheet, or other file formats such as .xls, .xlsx, .csv, .doc, or .docx." You can select the contacts, click the three dots in the top left corner of the list, select Print, and print the list or save it as a PDF. Retyping it is the only way to get it into a sheet.
Open the file in Excel or Google Sheets, and the columns to keep
- Excel: open the downloaded .csv like any workbook. To send it on as CSV later, File › Save As and choose a CSV type such as CSV (Comma delimited); Excel warns that "only the current worksheet will be saved."
- Google Sheets: open or create a spreadsheet, then File › Import, upload the .csv, and choose Insert new sheets to add it as a tab, or Create new spreadsheet.
For the seating chart you need 3 things from the file, whatever the site called the columns:
- One row per guest, with the name in a Name column or in First name and Last name columns. Plus-ones and children need their own rows, even as "Guest of Sam Lee."
- A Household column: the same value for everyone who sits together. If the export has no Group, Household, Party or Family column, add one.
- Only the yeses. If there's an RSVP column, move the declined guests to another tab before you seat anyone.
Keep the meal and address columns in your own sheet for the caterer and the envelopes. The checker below reads the file the way the free Seating Chart tool does and tells you what it found.
Check your exported guest list
Choose the CSV file, or paste the columns from Excel or Google Sheets. The check runs in this page and the file isn't uploaded.
To check it by hand:
- Find the name column (or First name and Last name) and the household or party column. If there's no household column, add one.
- Sort by name and look for empty names and names that appear twice.
- Sort by household and count the people in each, so you know which ones are larger than a table.
- If there's an RSVP column, filter it and move the declined guests to another tab.
Next: from the guest list to tables
- How many tables: guests ÷ seats per table, rounded up, plus 1 so households fit. How many tables for 100 or 150 guests has the seats per table size.
- Seat everyone: the free Seating Chart tool takes the CSV, or columns pasted from Sheets. It keeps each household or party at one table, fills the tables evenly, and gives back a CSV and printouts. It refuses .xlsx, .xls, .numbers and .ods files: save as CSV first, or paste. Your list is never uploaded.
- Stay in the spreadsheet: the Excel and Google Sheets seating chart guide sorts the list alphabetically and by table.
- Set the sheet up first: How to turn your guest list into a seating chart covers plus-ones, children and the head table.
Zola, The Knot, Joy and Minted's exports are snapshots: an RSVP that changes after you download means a new download, or a change by hand. Seating chart apps compared lists the apps with CSV import and their prices.
