How to add a logo to your Zoho Mail signature, and fix one that doesn't show

By Blink Brief · Updated  · How pages are made

In Zoho Mail, click the Settings icon, go to Signatures and click the + icon. Name the signature, type your details, then click the Insert Image icon in the formatting bar and add the logo with Upload from Disk or Upload from URL. Click Save, and link the signature to your From address so it appears in new emails. If you paste an HTML signature instead, its logo shows only when the image sits at a working public link.

Short answer

  • Steps: Settings › Signatures › + › name › details › Insert Image › Insert › Save.
  • File: a PNG or JPG under 3 MB, made small before you insert it.
  • Logo not showing: check the From address, Plain text mode, and, for an HTML signature, that the image link opens for anyone.

Settings › Signatures: make the signature

Zoho's steps for Zoho Mail on the web:

  1. Log in to Zoho Mail and click the Settings icon.
  2. Go to Signatures and click the + icon. The Add Signature pop-up opens.
  3. Give the signature a name. Zoho warns you if the name is already taken.
  4. Type the signature: name, job title, company, phone, website. Format it with the toolbar.
  5. Add the logo, as in the next section, then click Save.

Zoho Mail keeps several signatures, one per email address or alias if you want. If your company's administrator set a signature for you, it carries a lock icon and you can't edit it: ask the administrator to change the logo in the Admin Console, under Users › the user › Mailbox Settings › Signature.

Insert the logo: Upload from Disk or Upload from URL

In the signature editor, click the Insert Image icon in the formatting bar. Zoho's Insert image window has two choices at the top:

  • Upload from Disk: click the box and choose the logo file on your computer. Zoho's limit is 3 MB.
  • Upload from URL: give the address of an image already on the web, such as the logo on your website.

Under them you choose the size, the alignment (Bottom, Left, Top, Right) and the Alternate text. Type your company name there: it is what a reader sees when the image doesn't load. Click Insert. You can also paste an image you copied elsewhere straight into the editor.

Formats: Zoho's Signatures page lists GIF, JPG, JPEG, BMP and PNG, and says no other format is supported; its Insert Images page names GIF, JPG and PNG. Use a PNG or JPG, which both pages accept. An SVG or WebP logo is on neither list.

To make the logo open your website when clicked: click the image, click More, choose Link, type the address in the Insert link pop-up, click Insert, then Save or Update.

Size the logo before you insert it

Zoho offers Small, Best fit and Original, and you can change them later by clicking the image. Zoho's own help warns that this isn't the whole story: "the image may be presented in its original size, in some email clients, making it appear incorrectly. Hence you can resize the images before embedding into the email, for better clarity at the recipient end."

So make a small copy of the file first. Zoho's free signature generator suggests a logo "within 300x100 pixels" saved as a PNG "under 2 MB". A copy about twice the width you want it to show at stays sharp on high-resolution screens: 160 pixels wide for a logo shown 80 wide. Pixel size versus display size is explained in why a signature logo isn't showing.

Zoho Mail also takes a signature written in HTML, through the Insert HTML option in the signature editor. Zoho's condition: "the images inserted should have a functional public URL to be fetched and displayed." The logo is not stored in the email; the recipient's app loads it from that address. That gives the same fixed width in every app, but a reader who blocks remote images sees the alternate text until they allow them. Keep your name and contact details as text, never inside the picture.

Zoho's help doesn't say how a logo uploaded from disk travels, or whether one added with Upload from URL keeps loading from that address or is stored as a copy. A question on Zoho's community forum asks how to stop a signature logo "sending and receiving as an attachment"; no answer showed when we read it. If your recipients see your logo as an attachment, a linked logo in an HTML signature is the route Zoho documents for images that load from the web.

The builder below writes that HTML: a table with inline styles, your logo loaded from a public https:// link at the width you set.

Make the HTML for a signature with a linked logo

This builder needs JavaScript. Without it:

  1. In Settings › Signatures, click + and type your name, title, phone and website as text.
  2. Click the Insert Image icon, choose Upload from Disk or Upload from URL, type your company name as the Alternate text, and click Insert.
  3. Click Save. For the HTML with a linked logo, turn JavaScript on and reload this page.

Then in Zoho Mail:

  1. Put your logo where it opens for anyone: open its link in a private browser window, where you aren't signed in, and check the logo shows.
  2. Press Copy HTML above.
  3. In Zoho Mail, click the Settings icon, go to Signatures, click + and name the signature.
  4. In the signature editor, open Insert HTML, paste the code and insert it.
  5. Click Save, then send a test email to an address of yours at another provider and open it there.

Zoho's help names the Insert HTML option but doesn't show its window, and we haven't yet tested this paste in a Zoho Mail account, so the test email is the check: the logo should arrive as a picture at the width you set, not as an attachment.

Make it appear: the From address, replies, Plain text

A saved signature doesn't go into your emails until it is linked to the address you send from. Zoho: "You need to link the Signature with the From address for the signature to appear automatically when you compose an email."

  • New emails: in the signature, under Associated From address(es) for new emails, select your address. Addresses you added from outside, groups and delegated addresses are listed in their own groups.
  • Replies: in Settings, select Add signature to all my email replies under Signature for replies. Without it, replies go out with no signature. A signature can also be set for replies under Associated From address(es) for the replies.
  • One email: while writing, use the Signature icon or Insert Signature to switch signatures for that email only.
  • Plain text: Zoho: "Any formatting applied to the signature including images and hyperlinks will not be displayed when you compose your email in Plain text format." Write in Rich Text to send the logo.

When the logo doesn't show

  • No signature at all: it isn't linked to the From address you're sending from. If an administrator set your signature, Zoho's Admin Console help says to check that it is mapped to your address there.
  • The text arrives but the logo doesn't: the email was written in Plain text, or the signature came from Insert HTML and its image link isn't public. A link that needs a sign-in, or one on your own computer, fails for every recipient. Open the link in a private window to check.
  • The logo won't insert: the file is over 3 MB or not a GIF, JPG or PNG. Save a small PNG copy and try again.
  • The logo shows huge for some people: some apps ignore the size you picked in Zoho and show the image at its own size. Insert a smaller file, or use a linked logo with a fixed width.
  • One recipient sees a blank box or the company name: their app blocks remote images, so a linked logo waits until they allow it. That is their setting, not your signature.
  • You can't change the signature: it has a lock icon, so your administrator set it. Only they can edit it.

The same fixes for Gmail, Outlook and Apple Mail are in why a signature logo isn't showing. Signature tools for a whole team are compared in email signature tools compared.

Questions

How do I add a logo to my Zoho Mail signature?

Click the Settings icon, go to Signatures and click the + icon. Give the signature a name, type your details, then click the Insert Image icon in the formatting bar and choose Upload from Disk or Upload from URL. Click Insert, then Save. Zoho's help adds that you can also paste a copied image.

Why is my logo not showing in my Zoho Mail signature?

The usual causes, from Zoho's own help: the signature was made with Insert HTML and the image has no working public link; the email is written in Plain text, which drops images; the signature isn't linked to the From address, so it doesn't appear at all; or the image is in a format Zoho doesn't take. On the recipient's side, a linked logo stays hidden until they allow remote images.

What image formats does Zoho Mail take in a signature?

Zoho's Signatures page lists GIF, JPG, JPEG, BMP and PNG, and says no other format is supported. Its Insert Images page says GIF, JPG or PNG, at most 3 MB. A PNG or JPG fits both lists; SVG and WebP are on neither.

Can I make the logo in my Zoho Mail signature a link?

Yes. Click the image in the signature, click More, choose Link, type the web address in the Insert link pop-up, click Insert, then Save or Update.
