Make place cards from your list

This tool needs JavaScript. To make flat escort cards from your list in Word instead, with a mail merge:

  1. Save the guest list as a spreadsheet with a Name column and a Table column.
  2. In Word on Windows: Mailings › Start Mail Merge › Step-by-Step Mail Merge Wizard, choose Labels, then Label Options and New Label to type the card size. On a Mac: Mailings › Start Mail Merge › Labels, then Label Options.
  3. Pick the spreadsheet as the recipients (Browse in the wizard, Select Recipients on a Mac), and put the Name and Table fields on the first card.
  4. Update all labels, preview them, and print at 100%.

Paste your guest list, or upload the CSV from the free Seating Chart, and print a place card for every guest: folded cards with the name on both sides, or flat escort cards with the name and the table. This free tool lays them out 4 or 8 to a Letter or A4 sheet, with cut and fold lines, in your browser.

How it works

  1. Add the names. Paste one name per line, or a Name and a Table column from Excel, Google Sheets or Numbers. Or upload a CSV file. The line under the box says which columns it read.
  2. Choose the card. A folded place card, or a flat escort card. Then the paper, the font, the order and an accent colour for the short line under the name.
  3. Check the preview. It shows the first sheet. A long name such as "Alexandra Montgomery-Whitfield" goes on two lines, or is set smaller, so it fits.
  4. Print. Click Print or save as PDF. Only the cards print. Choose "Save as PDF" in the print window to keep a file for a print shop.

From your seating chart

The free Seating Chart downloads a CSV with the columns Name, Table, Table number and Group. Upload that file here as it is: the cards take the names from Name and the table from Table, so a table you renamed, such as "Head table", prints as you named it. A guest marked "Not seated" gets a card with the name only, and the line under the box counts them.

Other lists work too. The tool reads a header row with Name, Guest or Full name, or First name and Last name, and Table or Table number. A Title column is printed small above the name, and a Reading column sets the A–Z order. Without a header row, it reads one name per line, or the name and then the table number. A spreadsheet file (.xlsx, .xls, .numbers, .ods) is refused: save it as a CSV, or copy the columns and paste them.

Order sets the order of the cards on the sheets: as in your list, A–Z by last name for an escort card table, or by table, which puts each table's cards together for setting the room.

Folded or flat

  • Folded place card: stands on the plate or the table. The name is printed on the bottom half and again, upside down, on the top half, so after folding it reads the right way from both sides of the table. Fold along the dotted line in the middle. To leave the back blank for a message, turn on Name on the front only.
  • Flat escort card: lies on a table at the entrance, in A–Z order, so each guest finds their name and table. Turn on Print the table on the card; it is on by default when your list has a table column.
Card Letter (8.5 × 11 in) A4 (210 × 297 mm) Per sheet
Folded place card 3.5 × 4 in flat, 3.5 × 2 in folded 90 × 100 mm flat, 90 × 50 mm folded 4
Flat escort card 3.5 × 2 in 85 × 54 mm 8

The fonts are the ones already on your computer: Georgia, Palatino, or Helvetica and Arial. A phone without Georgia or Palatino uses its own serif font instead, so make the final print from a computer. Nothing is downloaded to draw the cards.

Paper and printer settings: actual size, no scaling

The sizes above hold only if the browser prints at 100%. In the print window:

  • Paper: the one you chose in the tool, Letter or A4.
  • Scale: 100%. In Microsoft Edge, set Scale to print to Actual size, which "prints the document in its original size without any scaling", not Fit to printable area. On a Mac, leave the scale at 100% and "Scale to fit paper size" off.
  • Margins: Minimum where the browser offers it. Edge's Default margins are 1 inch, which leaves 6.5 in across a Letter sheet, and a row of 2 cards is 7 in wide. A sheet is 8 in tall (Letter) or 200 to 216 mm (A4), so it fits the height either way.
  • Card stock: check that your printer takes it, and print one sheet first. Measure a card with a ruler before printing the rest: a folded Letter card should be 3.5 in wide and 4 in tall before folding.

The cards aren't laid out for pre-cut sheets. Avery's 5302 tent cards, for example, are 2 × 3-1/2 in, 4 to a Letter sheet, but this tool doesn't match their positions. Print on plain card stock and cut along the dashed lines.

Other ways to make place cards

Place Card Me also imports a list, from Excel or pasted text, onto cards about 2 in high by 3.5 in wide. Its designs marked Free cost nothing; others are "a one-time $7.95 per set of cards to download without the watermark". In Word, a mail merge onto labels makes flat cards from a spreadsheet: the steps are in the box above, shown when JavaScript is off, and in Microsoft's "Print labels for your mailing list".

Privacy

The list you paste or upload is read in this browser tab and is never uploaded. The cards are drawn in the page, and printing goes from your browser to your printer, or to a PDF on your computer. Close the tab and the list is gone; nothing is saved.

For the seating itself, start with the Seating Chart. To print the chart in Word, see how to make a seating chart in Word.

FAQ

Is this place card maker free?

Yes. It is free with no sign-up and no watermark on the cards. It runs in your browser, and the list you paste or upload stays there.

How do I make place cards from an Excel list?

Copy the Name column, and the Table column if you want tables on the cards, from Excel and paste it into the box above, or save the sheet as a CSV and upload it. The tool doesn't open .xlsx files.

What size are the place cards?

On Letter paper, a folded card is 3.5 × 4 in flat and 3.5 × 2 in folded, 4 to a sheet; an escort card is 3.5 × 2 in, 8 to a sheet. On A4, a folded card is 90 × 100 mm flat and 90 × 50 mm folded, and an escort card 85 × 54 mm, 8 to a sheet.

Will they print on Avery place cards?

They aren't laid out for any pre-cut card stock, Avery's included. Print on plain card stock that your printer takes, and cut along the lines.

Does Microsoft Word have a place card template?

Microsoft's Word wedding template gallery, read on 4 November 2026, listed invitations, programs and checklists, and no place cards. In Word, a mail merge onto labels of your card size makes flat cards from a list.
