For a team of 5, a signature tool that installs the signature for everyone costs $0 to $24 a month, almost always billed yearly. Signitic is free up to 19 employees with its badge in the signature, and CodeTwo works with Microsoft 365 only. Every price below comes from the vendor's own pricing page, read on 1 November 2026 (WiseStamp's again on 3 November).

Server-side or add-in: what changes for your team
- Installed into each mailbox (API): the signature shows in the compose window, as if each person had pasted it. SyncSignature, WiseStamp, MySignature, and Newoldstamp work this way in Gmail.
- Server-side: the mail server adds the signature after the email is sent, whichever app sent it. CodeTwo: "Works with all email clients." The catch, in Exclaimer's words: "they aren’t visible while the user is writing their message".
- Outlook add-in: the signature appears in Outlook as you write, and an admin deploys the add-in to everyone.
No tool at all: Gmail and Outlook on their own
Each person can paste the same signature into Gmail or Outlook. A Google Workspace admin can add a text footer to every outgoing email, and a Microsoft 365 admin can add a signature with a mail flow rule. The guide has the official steps and the limits of each.
